III. Save Workbook

Saving workbook is a crucial task for your works. If you are careless in saving your workbook (work), you will regret in losing it. To save workbook, you have two ways. You can follow one among the two ways below:

III.1. Using Save command

You can  use Save command (Ctrl+S) to save a new workbook (work) or an existing workbook (work). To use Save command, do the following:

Suppose you are in Excel window

- Click Office Button

- Click Save button Or Press Ctrl+S

The Save as dialog box appears that allows you to set file name and select the location to store the file.

1. Where you can select the location that you want to store your workbook.

2. Where you can set the name for your workbook.

3. Where you can choose the file type to save your workbook.

After you choose the location, set the file name, and select the file type for your file, click Save button to keep your file.

III.2. Using Save as command

You use Save as command (F12) to save a new workbook or an existing workbook. In case, you intend to change the existing workbook name to the new one or in case you intend to change the existing workbook format to the new one.

- Click Office Button

- Click Save as button Or Press F12

When you click Save as Button, you will see other file formats for the workbook as the figure below:

1. Excel Workbook: Save the workbook in the default file format. If you set the default file format as excel 2007, your saved workbook will save as excel 2007 (*.xlsx). You can set the default file format in Excel Options by doing the following:

   - Click Office Button

   - Click Excel Options 

   - Click Save

   - Click drop-down arrow of the Save files in this format combo box to set the default file format.

2. Excel Macro-Enabled Workbook: Save the workbook in a xlsm file format.

3. Excel Binary Workbook: Save the workbook in a binary file format to optimize for fast loading and saving. The a binary file is a file that contains binary number (1 and 0).

4. Excel 97-2003 Workbook: Save a copy of the workbook in Excel file version 97-2003.

 5. Adobe PDF: Save the workbook in a PDF file format.

6. Find add-in for other file formats: Look for an add-in to save or publish file as PDF or XPS file format. To save or publish a file to PDF or XPS, you must first install the Publish as PDF or XPS for the 2007 Microsoft Office System.

    - Go to the Microsoft Save as PDF or XPS Add-in for 2007 Microsoft Office programs and follow the instructions on that page.

   - After you install the Publish as PDF or XPS add-in, you can export your file to PDF or XPS. 

Note: You can download the Publish as PDF or XPS if your office program has license.

7. Other Formats: Save the workbook in other file formats such as Excel Workbook (*.xlsx), Excel_Macro-Enabled Workbook (*.xlsm), Excel Binary Workbook (*.xlsb), and other file formats that you want to set. You can select it in the Save as type combo box of Save as dialog box. See the figure where number three located.

After you select any file format for your workbook, choose the location to store the workbook, and set file name for the workbook, click Save button to save your file.
